Refund & Cancellation Policy

1. Legal & Contractual Framework
All bookings, land logistics arrangements, and financial transactions are managed by Perfect Umrah and Travels Limited (UK Company No: 16226457). As an authorized sub-agent for Times Travel Ltd (ATOL 74904), our operational cancellation conditions align directly with the contractual frameworks dictated by primary service providers (airlines, international hospitality networks, and ground transport authorities).
2. Cancellation Initiated by the Client
If you need to cancel your custom pilgrimage arrangements, you must notify our administrative desk in writing via email at support@perfectumrah.co.uk. The cancellation fee structure is calculated based on the precise date our team receives your written verification:

| 61 days or more | Loss of the initial booking deposit only. |
| 31 – 60 days | 50% of the total custom package cost is retained. |
| 30 days or less | 100% of the total custom package cost is retained (fully non-refundable). |
3. Non-Refundable Administrative and Government Fees
Because external third-party costs are settled immediately to secure your clearance pathways, certain disbursements are strictly non-refundable once administrative processing has commenced:

Visa Documentation Support Fees: Our professional administrative fees for document pre-auditing, entry track evaluation, and data validation are non-refundable, irrespective of the application outcome.

Sovereign Government & Ministry Fees: Any mandatory statutory fees paid directly to official portals, foreign embassy channels, or international health insurance configurations cannot be recovered or refunded once submitted to government systems.
4. Visa Approvals and Regulatory Adjustments
Perfect Umrah acts exclusively as a private, independent travel consultancy. The absolute authority to grant, delay, or deny an entry visa rests solely with the competent sovereign government authorities.

In the event of an unexpected administrative delay or application rejection by government systems, our team will review on-ground hotel and transport reservations to request recovery according to individual provider policies. However, all baseline processing fees and non-refundable ministry items remain non-recoverable.

Our consultancy is not legally or financially liable for sudden fluctuations in foreign government entry criteria, emergency pilgrimage quota restrictions, or cross-border travel rule modifications.
5. Financial Protection Framework (ATOL)
For configurations where return flights are integrated into your travel itinerary by our team, your booking falls under the protection of the UK Civil Aviation Authority’s ATOL scheme via our supplier, Times Travel Ltd (ATOL No: 74904). Standalone ground arrangements or land-only packages do not inherently include flights and are not covered by the ATOL framework.
6. Refund Processing Windows
Approved, eligible refunds are returned exclusively to the original payment method or originating bank account profile. Due to international banking structures and multi-provider reconciliation loops, the processing window takes between 14 to 28 working days from the date formal cancellation approval is granted.
